This policy explains how Flight Crew Group, LLC ("Flight Crew," "we," "us," or "our") collects, uses, shares, and protects information in connection with our managed AI service, the Flight Deck Shopify application, the Command Center, and our website at flight-crew.ai (together, the "Services").
Who we are
Flight Crew provides a managed AI service for Shopify ecommerce operators, delivering a recurring intelligence briefing and related analysis and recommendations. Flight Deck is our Shopify application that connects your store's data to that service on a read-only basis. This policy applies to the Flight Crew service, the Flight Deck app, the Command Center, and our website.
Information we collect
Information you provide to us
When you contact us, request a demo, enter an engagement, or use the Command Center, we collect details such as your name, email address, business name, and role; account credentials; billing and contract information; and the content of your communications with us.
Store data accessed through Flight Deck
When you install Flight Deck and authorize access, we read data from your Shopify store on a read-only basis. This may include orders, products, inventory levels, price rules and discounts, and customer records. Orders and customer records can include personal information about your customers — such as names, email addresses, shipping and billing addresses, and purchase history. Flight Deck requests read-only scopes only; it does not write to, modify, or place orders in your store.
Data from other services you connect
If you authorize additional integrations — for example Klaviyo, Google Sheets, or similar tools — we access the data you make available through them, such as marketing engagement metrics or operational spreadsheets, to incorporate it into your briefings.
Website and usage information
When you visit flight-crew.ai or use the Command Center, we and our providers may collect standard technical and usage information, such as IP address, browser type, pages viewed, and similar analytics data, including through cookies and similar technologies.
How we use information
- Provide, operate, and maintain the Services, including generating your briefings, analysis, and recommendations.
- Respond to your requests and communicate with you about your account and engagement.
- Secure, monitor, troubleshoot, and improve the Services.
- Comply with legal, tax, and contractual obligations.
- With your consent, send you updates about our Services.
We do not sell personal information, and we do not use your customers' personal information for advertising or for any purpose other than providing the Services to you.
How we share information
We share information only as needed to operate the Services:
- Service providers and subprocessors that host and power the Services — including cloud hosting infrastructure (Railway) and AI model processing (Anthropic), along with providers for email delivery and website analytics. These providers process data on our behalf under contractual confidentiality and security obligations.
- Professional advisors, such as legal and accounting, where reasonably necessary.
- Authorities or other parties where required by law, to enforce our agreements, or to protect the rights, safety, and security of Flight Crew, our customers, or others.
- A successor entity in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.
To generate briefings, store data and related content may be processed by our AI subprocessor. We send only the data needed for analysis, and our AI provider processes it under commercial terms that do not use your business or customer data to train their models.
Store and customer data
Because Flight Deck accesses customer information through the Shopify API, we handle that data in line with Shopify's Protected Customer Data requirements and applicable law:
- Purpose limitation — we use store and customer data only to provide the Services to you, and for no unrelated purpose.
- Data minimization — we request the minimum read-only scopes needed and access only the data required to generate your briefings.
- No sale, no advertising — we never sell this data and never use it for advertising or for profiling unrelated to your Services.
- Retention and deletion — we retain store and customer data only as long as needed to provide the Services. If you uninstall Flight Deck or end your engagement, we delete or anonymize the store data we hold within 90 days, except where we must retain limited records to meet legal obligations.
- Your control — you can disconnect Flight Deck at any time from your Shopify admin, which revokes our access to your store.
How long we keep information
We keep personal information for as long as needed for the purposes described in this policy — to provide the Services, maintain our business records, and meet legal obligations — after which we delete or anonymize it. Store data accessed through Flight Deck is handled as described in the section above.
How we protect information
We use administrative, technical, and organizational safeguards designed to protect information, including encryption in transit, access restricted on a need-to-know basis, and secure storage of access tokens. No method of transmission or storage is completely secure, so while we work to protect your information, we cannot guarantee absolute security.
Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent. Where we process store data on your behalf, we act as a processor / service provider and you, the merchant, are the controller; we will reasonably assist you in responding to your customers' requests.
We do not sell or share personal information as those terms are defined under applicable U.S. state privacy laws. To exercise any right, contact us at the address below. You may also have the right to lodge a complaint with your local data protection authority.
International data transfers
We are based in the United States and process information there. If you access the Services from outside the United States, you understand that your information may be transferred to and processed in the United States, where data protection laws may differ from those in your country.
Children's privacy
The Services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of the Services after an update takes effect means you accept the revised policy.
